How to Create a New Order
1. Click on the green Create New button in the top left corner of the toolbar.

2. Choose project from the dropdown menu and click Next.

3. Download the Order Detail Template by clicking Download Now. Do not change the column headings, field formatting or worksheet names within the spreadsheet.

4. Once the order file is opened, navigate tot he Recipients tab and input necessary data for the participant incentives. One record is required for each gift car or virtual incentive you are ordering. For example, if you are ordering 10 gift cards, then your spreadsheet will contain 10 entries. At minimum, an order must contain denomination, email, W9Eligibile, and W9ID.
- Denomination: Enter in the denomination (dollar amount) of the card.
- Email: Enter in the participant's email address.
- FirstName/LastName: For studies that do not collect names, you can fill in the FirstName column with a generic name, such as Study Participant or Recipient. You can also use Participant IDs in this field. This field will display on the reward email (ex. "Dear Rachel,").
- Address: Only enter in this information if you want to give participants the option to get a physical gift car. Gift cards will be mailed to them.
- Phone: Only enter this information if the gift card will be delivered via SMS.
- W9Eligible: Enter a Y for Yes.
- W9ID: Enter the participant's email.
- User Defined Fields (UDFs): These fields can be used if the study has custom information that you want to keep track of, including a participant ID. Be consistent across all study participants.
5. Save and upload the completed file. To avoid an upload error, ignore the unused columns and do not remove column headers.
6. Click Next to navigate to the Review module top review the order.
7. Review the Order to make sure everything is correct. For Order Name, enter in the IRB project number (ex. IRBFY2025-1234). Leave the Release Date blank unless you are scheduling an order ahead of time. Orders will typically be processed within 1-2 hours once placed if done during business hours (EST). Do no put a release date if you want the order to go out same day.
