Spring 2025 Grade Entry is (Lurking) Around the Corner!

Dear UM Instructors,
It's that time again! Final grades are due in CyberBear by Tuesday, May 13 at 11:59 p.m.
Please take a moment to review these important grading dates.
- Friday, May 2: Final grade entry opens
Enter grades directly in CyberBear via the Faculty Grade Entry link or use Canvas' Grade Passback feature - it syncs with CyberBear!
In CyberBear, you may need to re-sort or search for your courses if your course roster does not appear on the Faculty Grade Entry first page. If you still can't find the roster, please contact our schedulers to check your instructional assignments.
- Tuesday, May 13 by 11:59 p.m.: Grades due for all classes
You do not have to enter all grades at the same time, but because students may be able to see grades right away in the View Grades link in CyberBear, you may wish to enter grades for whole rosters in one sitting.
- Wednesday, May 14 all day: Editing period
You may freely edit final grades using the Faculty Grade Entry link in CyberBear through this date.
- On or around Friday, May 16: Grades roll to transcripts
Transcripts will continue to display courses as "In Progress" until all grade roll processes are complete. Therefore, prior to this date, grades are not official.
- After grades roll to transcripts: Manual updates are required
Once grades roll to transcripts, follow the instructions to send grade changes to the Registrar's Office staff.

FINAL GRADE ENTRY
Visit the Final Grade Entry website and choose your instructions:
- Sync Grades from Canvas Into CyberBear
- Manual Grade Entry
- Import Spreadsheet
ONLY INSTRUCTORS OF RECORD CAN ENTER GRADES

To make changes, email our schedulers with the UM ID# of the new instructor and include the CRN, subject, course number, and section (e.g., CRN 70000 FRCH 101 section 01) of the course.
LAST DATE OF ATTENDANCE (LDA)
When you assign grades of F, RF, NCR, and I, you must also supply the student's last date of attendance (LDA) to comply with Department of Education regulations.
The LDA is a student's most recent academic engagement in a course. Our grading site defines and gives examples of academic engagement according to the DoE.
N OR I GRADE?
Rule of thumb:
Incomplete = Extension
N = Multi-semester work
- I (incomplete) grades are appropriate when a student has been in regular attendance and passing for a majority of class but is unable to finish within the semester for reasons acceptable to you. Review the catalog for the full .
Negligence and indifference are not acceptable reasons to grant an incomplete.
If a student failed to drop or change to CR/NCR grading, assign the earned grade. You may report the details of suspected errors to grading@umontana.edu.
- N (in progress) grades should only be used for courses in which the work is designed to span more than one semester (e.g., thesis, dissertation, research, some study abroad programs).
N grades should not be assigned for standard undergraduate courses, except in cases of pending academic misconduct or at the direction of Registrar's Office staff.
WHY THE GRADING DEADLINE IS CRITICAL
Late grades can contribute to many consequences for students, including:
- loss of financial aid eligibility
- incorrect academic standing calculation
- loss of Dean's List or President's 4.0 List recognition
- delayed degree awarding
- failure to demonstrate fulfillment of course prerequisites
- loss of NCAA eligibility
- loss or delay of V.A. and military benefits
Delays like this can have a snowball effect; the later a student finds out they are on academic probation or suspension, the less likely they are to seek help and get back on track.
We all want UM students to reach their full potential, stay at UM, and complete their degrees. Turning your grades in before the deadline is one way that you can help.
